Senior Executive Assistant/ Executive Assistant (at the rank of Clerk I/II) of the Investment Office (Ref.: 530641)

The Role

The appointee will assist in a full spectrum of secretarial and office administrative support which includes:

  • managing calendars and schedules;
  • coordinating meetings and supporting work of high-level committees;
  • preparing papers, correspondence and presentation materials;
  • handling and prioritizing incoming correspondence;
  • handling travel arrangements, including booking of flights, hotels and logistics
  • maintaining records and filings to ensure information is well-organized and easily accessible;
  • prepare, edit and proofread correspondence, reports and presentations;
  • facilitating communication and contributing to the overall running of the office;
  • assist in managing specific projects or initiatives, tracking progress and coordinating with various teams; and
  • liaising with central administrative offices and academic departments within the University as well as various external stakeholders. 

Qualifications and Qualities

  • a Diploma or above with 5 passes in HKCEE including English (minimum Grade C if Syllabus A/Level 2 from 2007), Chinese (Level 2 from 2007) and Mathematics, OR minimum Level 2 or equivalent in 5 subjects in HKDSEE including English Language, Chinese Language and Mathematics; 
  • at least 5 years’ relevant experience; 
  • good knowledge of computer and software applications such as MS Word, Excel and PowerPoint;
  • good command of written and spoken English and Chinese (preferably with knowledge of Putonghua);
  • good interpersonal and organizational skills;
  • mature, proactive, and able to work independently;
  • integrity in working with confidential information is a must; and
  • formal secretarial training will be advantageous.   

What We Offer

The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal. A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary. Other benefits include annual leave and medical benefits. The grade of Senior Executive Assistant/Executive Assistant will be offered subject to the qualifications and work experience of the candidate. Shortlisted candidates will be invited to attend a written test and an interview.
