Executive Assistant (at the rank of Clerk II) in the Communications and Public Affairs Office of the Registry (Ref.: 526339) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary, with the possibility of renewal)

 

The Communications and Public Affairs Office (CPAO) of the Registry of the University of Hong Kong (HKU) enhances HKU's reputation through branding, events, digital communications, media relations, and more. The office is also responsible for University events and ceremonies, publications, both external and internal communications, crisis management and community engagement. CPAO is currently elevating and expanding its scope of services. We are looking for talented candidates to join the team.

 

The key responsibilities of the Executive Assistant are to:

 

  • provide administrative and clerical support to the Office, including but not limited to reception counter service, handling enquiries, bookings management, venue setup, facility maintenance, data entry and filing;
  • provide technical installation, configuration, maintenance as well as troubleshooting support for servers, workstations and networks;
  • handle equipment procurements, disposals and maintain inventory records; and
  • perform any other ad-hoc duties that may arise from time to time, subject to rotation within CPAO.

 

Requirements:

 

  • a Diploma or above, preferably with one year’s relevant work experience in office administration or in-house IT support within the education sector;
  • attentive to details, self-motivated with a strong sense of responsibility and ethics;
  • ability to work independently as well as in a team;
  • ability to handle multiple tasks; and
  • a good command of English and Chinese, IT proficiency and effective communication, organizational and problem-solving skills.

Compensation and Benefits:

 

A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits.
