Senior Archives Assistant (Archives and Special Collections) (at the rank of Library Assistant I) in the University Libraries (Ref.:527015)

 

We are looking for a Senior Archives Assistant to join the University Libraries to provide quality service for the University Archives and/or other functional areas.

 

The Role

 

The appointee will be responsible for the following duties:

 

Operational

  • assisting in daily operation of the University Archives within the Archives and Special Collections (ASC);
  • acting as front of house to help with enquiries, supervision of reading area in order to maintain the security and orderly use of materials, space and environmental management, records transfer, retrieval and return, implementation of preservation control and any ad-hoc duties;
  • handling reference services through emails, telephone and walk-in enquiries with professional manners, including referrals;
  • assisting in University-wide and cross-departmental records transfer, processing and management of TOGO records management system at the main Archives and off-site Records Centre following international standards (ICA, ISO, BS) and best practices;
  • assisting in digitisation for providing wider access; and
  • liaising closely with Special Collections, Preservation and Conservation Department and the Libraries for identification of materials for teaching, research, curatorial and exhibition purposes.

 

Professional

  • assisting in collecting, generating and compiling statistics;
  • assisting in appraisal;
  • assisting in preparation of Deed of Gift, Loan Agreement, funding proposals and other clerical works for sign-off.
  • assisting in creation and enhancement of finding aids following the international archival description standards (ISAD(G) and DAS) using ArchivesSpace;
  • liaising with ITS for maintenance of Digital University Archives and website;
  • assisting in collecting of digital-born records from external sources relating to the University;
  • reporting and reacting swiftly on any concerns over environmental control of the spaces; and
  • leading library tours and giving presentation in English and Chinese when called upon.

 

Qualifications and Qualities

 

Applicants should possess a Bachelor’s Degree in Archives and Records Management, or equivalent qualifications, with at least 1 year of relevant post-qualification work experience, preferably in a tertiary institution. They should have knowledge and concept of the life-cycle of records, a good command of written and spoken English and Chinese, strong computer software literacy (such as MS Office), and the ability to work independently and multi-task.

 

This position is required to work in and manage the off-site Records Centre and to manage archival boxes up to 15kg each.

 

What We Offer

 

The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible, with contract-end gratuity and University contribution to a retirement benefits scheme, totaling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. Applicants with less qualifications and experience may be considered for the position of Archives Assistant (at the rank of Library Assistant).
