Procurement Officer (at the rank of Clerk I) in the Department of Pharmacology and Pharmacy (Ref.: 535075), to commence as soon as possible on a two-year fixed-term basis, with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, and with the possibility of renewal subject to satisfactory performance.
Applicants should possess a Diploma or above, with a minimum of 3 years of relevant work experience in administration and/or procurement in a pharmacy (community and/or hospital) or clinic setting. They should have a good command of written and spoken English and Chinese; good interpersonal, organizational, and communication skills; strong computer literacy (e.g., drug procurement systems, Microsoft Office Applications); willingness to learn, and a strong sense of responsibility. Proficiency in webpage management (e.g., Wix) and graphic design software (e.g., Canva) would be an advantage.
The appointee will be working closely with the pharmacists and dispensers at the HKUMed Community Pharmacy and will be responsible for overseeing the administrative and procurement duties for our pharmacy. Candidates with prior experience in healthcare procurement, supplier management and communications, or digital/visual content creation in a pharmacy setting would be an advantage.
Responsibilities:
- Manage the end-to-end procurement process of the pharmacy, including sourcing, ordering, and maintaining adequate stock levels for pharmaceutical products, healthcare products, clinical consumables, office supplies, and others.
- Liaise closely with pharmaceutical companies to negotiate terms, request quotations, and coordinate delivery logistics.
- Liaise closely with University internal units, departments, and faculty to coordinate delivery logistics as necessary.
- Assist in procurement administrative duties, including receiving goods, filing, checking, data entry, and uploading invoices to internal procurement systems.
- Load and unload goods onto and off the shelves in the storage area and dispensing area.
- Coordinate inventory management, including stock-taking, and liaising with pharmaceutical companies for exchange of goods.
- Maintain a high standard of record-keeping for all administrative and procurement operations, ensuring completeness of documents for financial and legal compliance.
- Manage and update the pharmacy’s website, ensuring that information regarding our products and services is accurate, user-friendly, and up-to-date. (optional)
- Design and produce promotional materials and digital content to support the pharmacy’s services. (optional)
- Perform any other administrative or operational duties as assigned by the management or pharmacists.
A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. 5-day work per week from 10:00 am to 6:45 pm (1-hour lunch inclusive) and no shifts are required.
