Applications are invited for appointment as Executive Assistant in the Social Sciences Research Centre (SSRC) (Ref.:536554) within the Faculty of Social Sciences, to commence as soon as possible.
The Social Sciences Research Centre is looking for a highly organised, proactive and responsible Executive Assistant to support the planning, coordination and delivery of training programmes, seminars, workshops, conferences and other Centre activities.
Duties and Responsibilities
The appointee will provide administrative and operational support to the Centre, with a primary focus on training and event organisation. Major duties include:
- Work on the planning, coordination and implementation of training programmes, workshops, seminars, conferences, public lectures, study tours and other SSRC activities
- liaising with internal units, external partners, speakers, participants, vendors and service providers
- handling event logistics, including venue booking, scheduling, registration, invitation, hospitality arrangements, on-site support and post-event follow-up
- preparing event materials, publicity content, programme rundowns, briefing notes, reports, summaries and other documentation
- supporting participant communication, enrolment management, attendance records, feedback collection and basic data compilation
- Knowledge of design tool such as Canva, Generative AI on images will be advantages
- assisting in procurement, quotation collection, payment processing, reimbursement and other financial/administrative procedures related to Centre activities
- providing general secretarial and administrative support to the Centre
- performing other duties as assigned.
Requirements
- a Bachelor’s degree, preferably in Social Sciences, Education, Communication, Hospitality, Public Administration, Business Administration, Marketing, or a related discipline
- at least 2 to 5 years of relevant work experience, preferably in administration, training, event management, programme coordination, executive education, public engagement or project support
- an excellent command of written and spoken English and Chinese, with fluency in Cantonese and Putonghua
- strong organisational, communication, interpersonal and problem-solving skills
- the ability to manage multiple tasks, work under tight timelines and provide reliable on-site support for events
- proficiency in Microsoft Office applications and common online communication/event management tools
- experience in organising academic, professional training, executive education, public engagement, conferences, seminars or study tour activities would be an advantage
- a strong sense of responsibility, attention to detail, service orientation and willingness to work as part of a team; and
- maturity, self-motivation and the ability to work independently with people from diverse backgrounds
What We Offer
The appointment will be made on a fixed-term full-time contract for two years, to commence as soon as possible, with the possibility of renewal subject to satisfactory performance and funding availability.
A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary.
