Executive Officer in the Student Inclusion and Support of Centre of Development and Resources for Students (CEDARS) (Ref.: 537355) (to commence as soon as possible, on a two-year fixed term basis with contract-end gratuity and University contribution to a retirement benefit scheme, totalling up to 10% of basic salary. Renewal of contract is subject to the availability of project funding and mutual agreement.)

The Role

  • assist in the development, rollout, daily maintenance, and continuous improvement of hall admission systems, hostel management platforms, and related databases;  
  • organize, clean, validate, and standardize datasets, and develop guidelines for data standardization and shared-drive management;  
  • apply statistical methods and data analysis to support technology integration, evidence-based planning, and process improvement;  
  • conduct regular data audits, checks, and procedural reviews to ensure data accuracy, compliance, and operational quality;  
  • provide frontline user support, troubleshoot system and operational issues, and handle enquiries from site office staff and residential stakeholders;  
  • assist in conducting training workshops and preparing user manuals, operational guidelines, and system documentation to support smooth adoption of policies and platforms;  
  • liaise with University departments, residence management offices, and relevant residential stakeholders on housing operations and system-related matters;  
  • assist in coordinating residential initiatives, including residential education and housing partnerships, and support maintenance of websites, online resources, reports, and presentations; and  
  • perform any other duties as assigned by supervisor.  

 

Qualifications and Qualities

  • a Bachelor's degree, preferably in Information Management, Statistics, Business Operations, Social Sciences, or a related discipline, with at least 3 to 5 years' relevant post-qualification experience; 
  • relevant experience in database management systems (DBMS), system implementation, quality assurance, data management, process improvement, or higher education/student housing administration; strong analytical ability and experience in organizing, validating, and analysing complex datasets; 
  • strong proficiency in Microsoft 365 applications, including Microsoft Copilot, workflow automation tools, VBA and SQL; experience in Power BI, AI solutions, and visual design tools such as Canva or Adobe Creative Suite would be an advantage; 
  • the ability to prepare user guides, conduct training workshops, provide user support, and communicate complex technical concepts effectively to non-technical users and stakeholders; 
  • excellent written and spoken English and Chinese (including native fluency in Cantonese), strong interpersonal and communication skills, and a positive, proactive, service-oriented attitude with the ability to work collaboratively with diverse stakeholders.
