Applications are invited for appointment as Administrative Assistant I in the Faculty of Dentistry (Ref.: 528737) (to commence as soon as possible, on a two- to three-year fixed-term basis with the possibility of renewal subject to satisfactory performance).
Applicants should have:
- a good university degree, preferably a Master’s degree;
- at least 10 years’ work experience in the higher education sector or a related field, of which at least 5 years should be at supervisory or management level;
- experience in committee servicing with a strong understanding of University governance processes;
- excellent stakeholder management and collaboration skills with proven ability to deal effectively with external stakeholders in fostering strong professional relationships;
- excellent communication skills with exceptional command of written and spoken English and Chinese;
- experience in drafting formal documents and dealing with sensitive and confidential issues;
- a strong sense of responsibility and strategic awareness;
- ability to work proficiently with significant independence and attention to details;
- excellent decision-making, organizational, time-management, interpersonal and problem-solving skills;
- an appropriate level of IT knowledge; and
- the ability to motivate subordinates to deliver quality work under tight deadlines.
The appointee will play a versatile role in leading junior administrative, executive and clerical staff in supporting a full range of tasks on or above operational level of the Faculty administration. He/She will provide a high level of administrative support to one or more functions of the Faculty: central administration (e.g. strategic development, human resources and finance), RAE, quality assurance, teaching and learning, and/or external relations/ knowledge exchange.
The appointee will develop effective working relationships with colleagues at all levels, be familiar with University procedures and policies, and provide secretarial support to various committees. He/she will liaise with internal and external stakeholders, lead the development and implementation of strategic plans and policies, draft formal proposals/ guidelines/ reports/ letters, handle sensitive and confidential issues with care, and perform other duties as assigned. Shortlisted candidates will be invited to attend a written test and interview.
