Administrative Assistant II/Executive Officer in the Faculty of Business and Economics (Ref.: 531673) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)
The Faculty of Business and Economics at the University of Hong Kong is dedicated to excellence in education, research, and community engagement. We are seeking a highly organized and detail-oriented Administrative Assistant II/Executive Officer to join our team in providing support for Human Resources functions at the Faculty level. The appointee will primarily assist with committee servicing for academic recruitment, promotion, re-appointment, and other personnel matters. This is an excellent opportunity for an individual with strong administrative skills and exceptional English writing abilities to contribute to the academic and operational excellence of the Faculty.
Key Responsibilities included but not limited to:
• Providing comprehensive administrative support for Faculty-level committees related to academic recruitment, promotion, re-appointment, and other personnel matters;
• Drafting meeting agendas, minutes, and related documentation with accuracy and professionalism;
• Coordinating and organize committee meetings, including scheduling, preparing materials, and following up on action items;
• Ensuring compliance with relevant policies, procedures, and timelines in handling personnel matters;
• Assisting in the preparation of reports, letters, and other communication materials in fluent and professional English;
• Liaising with internal stakeholders, including academic staff, administrative offices, and other departments, to ensure smooth workflow and effective communication; and
• Maintaining accurate records and documentation to support human resources operations and decision-making processes.
Requirements:
• A recognized bachelor’s degree or equivalent qualification in business administration or a related field, preferably a master’s degree;
• At least 6 years of proven experience in human resources support, preferably in an academic setting;
• Exceptional English writing skills, with the ability to draft clear, concise, and professional meeting agendas, minutes, and correspondence;
• Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively under tight deadlines;
• High attention to detail and accuracy in all aspects of work;
• Excellent interpersonal and communication skills, with the ability to interact professionally with stakeholders at all levels;
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and other relevant software;
• A proactive and resourceful approach to problem-solving, with the ability to work independently as well as in a team;
• Demonstrated discretion and professionalism in handling confidential information; and
• Candidates with lower qualifications and/or less experience may be considered for appointment as Executive Officer.
