Executive Officer in the Department of Geography
The Department of Geography is seeking an Executive Officer to provide administrative leadership and support for undergraduate programmes and other departmental functions.
The Role
Reporting to the Head of the Department, Deputy Head of Department for Teaching and Learning, and the Director of Undergraduate Studies, the appointee will join the General Office of the Department of Geography. In this capacity, the appointee will be expected to:
- Hold primary administrative responsibility for undergraduate programme development, including syllabus updates, course timetabling, enrolment management, course examinations, student support services, and related initiatives.
- Coordinate curriculum review processes and external assessment exercises, including liaising with external examiners and preparing relevant documentation.
- Hold primary responsibility for undergraduate student advising, including course selection, academic progress monitoring, and student inquiries.
- Manage the preparation, dissemination, and regular updates of programme-related materials, including handbooks and promotional content.
- Coordinate and manage outreach activities, alumni relations, and other administrative relationships.
- Lead and/or assist in organizing departmental events.
- Perform other administrative duties, as assigned.
Qualifications and Qualities
Competitive applicants will possess:
- A Bachelor’s degree or above in a relevant professional (e.g., business administration, education, non-profit management, etc.) or academic field (e.g., geography, environmental science, urban planning), awarded by a reputable university.
- A minimum of 1 year of relevant, full-time supervisory-level work experience is preferable.
- Professional proficiency in spoken and written English.
- Excellent verbal and written communication skills, and ability to offer substantive feedback and advice on student work and learning outcomes.
- Strong organizational skills, time-management and conflict-resolution practices, and problem-solving abilities.
- A high level of IT proficiency.
- Demonstrable ability to multitask, work independently, and collaborate effectively with different academic units and stakeholders.
- An unwavering commitment to ethical conduct, including especially with respect to honesty, transparency, professionalism, and collegiality.
- A passion for education, and a desire to motivate, mentor, and advocate for students of all backgrounds.
Additionally, candidates able to demonstrate the following will be considered especially competitive:
- Successful experience in undergraduate programme administration and/or leadership.
- Ability to communicate in Chinese (Cantonese and Mandarin), and/or other languages of strategic value (e.g., Tagalog, Hakka, Thai, French, Japanese, Spanish, German, etc.). Successful international professional experience, especially in tertiary education.
- Professional training in crisis management, rapid-response, or related areas.

The appointment will be made on a two-year fixed-term basis, with contract-end gratuity and University contribution to a retirement benefits scheme totaling up to 10% of the basic salary.
