Executive Assistant to the Director in the HKU Institute for Climate and Carbon Neutrality (ICCN) (Ref.:534989) (to commence as soon as possible, on a two-year fixed-term basis, with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance)

Applicants should possess a bachelor’s degree university degree with relevant administrative or executive support experience. They must exhibit exceptionally clear logic, strong organizational skills, and a proven ability to manage complex paperwork with high accuracy. The role requires a highly proactive and reliable individual capable of ensuring prompt, on-time responses in a fast-paced environment. A perfect command of written and spoken English and Chinese is essential, alongside a high level of interpersonal, problem-solving, and time-management skills.
The appointee will provide high-level administrative and operational support directly to the Director of the ICCN, ensuring the smooth functioning of the Director's office and facilitating seamless communication across the Institute's internal and external stakeholders.
Key responsibilities include:
- Provide comprehensive executive support to the Director, including prioritizing enquiries, managing complex schedules, and coordinating appointments.
- Draft, review, and meticulously organize essential paperwork, reports, and correspondence, ensuring clear logic and strict attention to detail.
- Act as the primary point of contact for the Director's office, ensuring highly responsive, on-time communication with Faculty, University partners, and external stakeholders.
- Assist in organizing high-level meetings, preparing briefing materials, taking precise minutes, and tracking action items to completion.
- Maintain well-organized and highly efficient filing and data management systems.
- Handle sensitive institutional information with strict confidentiality and discretion.
- Undertake ad-hoc administrative and project-based duties as assigned by the Director.
