Clerk I/ Clerk II in the HKU Tech Landmark (TLM) (Ref.: 536801) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to funding availability and satisfactory performance)


Requirements

Applicants should possess a Bachelor’s degree in Business Administration, Commerce, Facility Management or a related field with at least 5 years of full-time clerical, administrative or facilities support experience. Applicants with accounting knowledge or relevant bookkeeping experience are highly preferred.

They should have a professional, practical command of covering the following core duties:

(i) Daily administrative support for facility management, including filing maintenance records, contractor service documents, and asset inventory files;

(ii) Assist in simple procurement paperwork, quotation collation, payment document preparation and expense record keeping; basic accounting skills for petty cash, invoice reconciliation and cost filing will be a major advantage.

Applicants should possess patient, meticulous and organised work attitudes; demonstrate good communication skills to liaise with researchers, admin staff and technical staff; be capable of handling multiple clerical tasks simultaneously with tight deadlines; have a good command of spoken Chinese; and have basic written and spoken English. Those with lower qualifications and/or less experience may be considered for appointment as Clerk II.


Main Duties and Responsibilities

The appointee will provide full clerical and administrative back-end support to the facility management team for the entire TLM office. He/she will sort, archive and digitise all documents, including but not limited to maintenance service records, inspection logs, vendor contracts and building compliance documents systematically. He/she will assist with financial clerical work, including collating supplier quotations, filing invoices, recording petty cash expenditure, and reconciling simple facility operating expenses; candidates with accounting knowledge can independently assist with basic bookkeeping and cost summary preparation.
