Administrative Assistant I/II in the President’s Office (two positions) (Ref.: 537155) 
 
We are seeking high-calibre candidates with exceptional skills and potential to join the President’s Office as Administrative Assistant I/II (AAI/AAII). The appointees will report to the Executive Vice-President (Administration and Finance) (“EVP”) or her representative.
 
The Role
 
The appointees will provide a full spectrum of administrative support to the EVP, whose portfolio covers, among others, strategic leadership and oversight of fiscal affairs, campus development, budget and finance management, estates management, healthcare and safety management, information technology services, and internal audit framework. In support of the EVP’s broad and evolving portfolio, the appointees will assist in a number of strategic initiatives and priority projects in parallel developments, covering safety, administrative review and reforms, digitalization and IT security, and the development of a governance framework for HKU subsidiaries. 
 
The appointees will:
 
  • Support the EVP in monitoring and coordinating various projects, task forces and change management initiatives, including tracking progress, timelines and follow-up actions.
  • Facilitate effective communication and liaison within the University and with external stakeholders, ensuring smooth information flow and timely dissemination.
  • Assist in coordinating and managing daily administrative operations for the EVP.
  • Prepare reports, proposals, presentations and correspondence in a timely and professional manner.
  • Organize meetings and events for the EVP, including logistics and documentation.
  • Maintain confidentiality and uphold the highest standards of integrity and professionalism.
  • Perform any other duties as assigned by the EVP.
 
Qualifications and Qualities
 
  • A good bachelor’s degree, preferably with a higher degree.
  • At least 7 years of relevant experience in sizable organizations. Experience in multi-tasking and project management in a fast-paced environment is advantageous.
  • Deftness in interpersonal communication and coordination ability for facilitating effective and impactful exchange within the University and with external stakeholders.
  • Demonstrated ability to coordinate multiple projects, monitor developments, and follow through on actions across administrative, facilities, digital and IT-related initiatives.
  • Awareness of current affairs especially developments in the local education sector.
  • Excellent communication skills in written and spoken English and Chinese (including Putonghua), with the ability to present ideas persuasively from insightful perspectives.
  • Perceptive faculty, strong conceptual and analytical skills plus good computer literacy.
  • Highly motivated, proactive, detail-oriented, and well-organized, with the ability to work independently and manage multiple priorities.
  • Candidates with less experience may be considered for appointment as Administrative Assistant II.
 
What We Offer
 
The appointment will commence as soon as possible on a full-time temporary basis for two years. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% of basic salary for AAI, or up to 10% for AAII.
