The Registry is seeking a highly skilled Senior IT Manager / IT Manager / IT Officer (several posts) (Ref.: 537563) to join our office.
The Roles
The appointees will design, implement and support AI-enabled and automation solutions for academic, administrative and student-related services. They will work closely with offices, faculties and departments to deliver secure, scalable and user-oriented solutions.
The appointees will be responsible for:
- Developing and supporting Generative AI, Agentic AI and workflow automation projects;
- Designing AI chatbots and virtual assistants for enquiries, FAQ handling, response generation, case routing and escalation;
- Implementing AI solutions for document verification, OCR, intelligent document processing, data extraction and document standardisation;
- Building AI-powered knowledge bases, repositories and search solutions using retrieval-augmented generation, semantic search and related technologies;
- Supporting automation of application review, approval workflows, document routing, procurement processes, meeting preparation and case management;
- Developing data analytics, dashboards and reports to support planning, audit, compliance and decision-making;
- Integrating AI and automation solutions with University systems, Microsoft 365, Office applications, Teams, APIs and other enterprise platforms using appropriate authentication, authorization and delegated access mechanisms;
- Using low-code, automation and custom development approaches, where appropriate, to prototype, orchestrate, deploy and support production-ready business workflows, while translating practical user needs into well-governed, maintainable and integrated solutions;
- Ensuring AI quality assurance, data privacy, cybersecurity, access control and responsible AI compliance; and
- Preparing documentation, user guides, training materials and management reports.
Qualifications and Qualities
Applicants should possess:
- A Bachelor’s degree or professional qualification in Computer Science, Computer Engineering, Information Technology, Information Systems, Data Science, Artificial Intelligence or a related discipline;
- For Senior IT Manager, at least 5 to 8 years’ relevant specialist experience at supervisory level in IT, AI, automation, digital transformation or a related sector;
- Candidates with less experience may be considered as IT Manager or IT Officer;
- Solid knowledge of Generative AI, Large Language Models, Agentic AI, prompt engineering, retrieval-augmented generation, vector databases, AI chatbots and workflow automation;
- Experience in applying AI, automation, data analytics, low-code platforms, Microsoft 365 integration, APIs, secure access delegation, DevOps practices or enterprise workflow solutions in practical business settings;
- Good understanding of AI governance, cybersecurity, data privacy and responsible AI practices;
- Strong vendor management, analytical and problem-solving skills, with solid experience in consolidating user needs, managing stakeholder expectations, resolving requirement gaps and translating institutional priorities into practical technical solutions;
- Meticulous attention to detail while maintaining an overview of the broader context;
- Demonstrated leadership, strong interpersonal and communication skills; and
- Excellent command of written and spoken English. Proficiency in Chinese would be an advantage.
Preference will be given to applicants with relevant certifications or practical training in areas such as AI, cloud platforms, cybersecurity, data analytics, Microsoft Azure AI, AWS AI/ML, Google Cloud AI, Power Platform, ITIL or equivalent qualifications. Project management-related certifications such as PRINCE2 or PMP would be an additional advantage but are not essential.
What We Offer
The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible, with the possibility of renewal subject to satisfactory performance and funding availability. A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits The appointment will attract a contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 15% or 10% of basic salary based on the level of appointment. Appointment as Senior IT Manager or IT Manager or IT Officer will depend on qualifications, experience and level of responsibility.
